If you are automating five things, use Zapier and spend the money elsewhere. The case for n8n starts when the per-task bill becomes noticeable, when the logic outgrows what a visual builder handles cleanly, or when the data involved is something you would rather not route through a third party: client records, case files, patient details.

n8n is a workflow automation tool. You connect apps and services together on a visual canvas and define what happens when. The important difference from most alternatives is that you can run it on your own server, which changes both the cost model and where your data lives.
Not universally. Zapier is genuinely the right answer for a handful of simple triggers, and it is quicker to set up. n8n wins on three things: cost at volume, because self-hosting has no per-task fee; data control, because nothing leaves your infrastructure; and complexity ceiling, because you can drop into real code when the visual nodes run out. If you are automating five things, use Zapier. If you are automating fifty, or handling client data you would rather not send to a third party, n8n is the better foundation.
Yes, and for most clients that is the point. We can deploy to your cloud account, a private VPS, or on-premise. For regulated work (legal, medical, financial), keeping automation inside your own boundary is often the difference between usable and not.
Anything repetitive with a clear rule behind it: routing enquiries, chasing follow-ups, syncing records, generating documents, reconciling data, producing reports, escalating exceptions. If the answer to "how do you decide what to do here" is a rule rather than judgement, it can usually be automated.
It will, eventually. An API changes, or a service has an outage. We build error handling and alerting into every workflow, so a failure notifies someone instead of silently dropping work. Silent failure is the real risk with automation, not visible failure.
No, though it helps. Workflows are visual and documented, so a reasonably technical person can adjust them. For teams without that, we offer ongoing maintenance. Either way you own the instance and the workflows outright. We are not a dependency you cannot remove.
That is the most common request, and it is why this pairs with our other work.
