What it handles

A front desk that never steps away.

The everyday work of a reception team, done consistently on every single call.

Answering & Greeting

Picks up instantly with your greeting, in your tone. No hold music, no phone tree, no "please listen carefully as our options have changed".

Booking & Rescheduling

Checks live calendar availability, offers genuine slots, books, reschedules and cancels, then confirms it all by SMS or email.

Screening & Routing

Works out who is calling and why, then routes to the right person, or filters out the sales calls your team should never have to take.

Message Taking

When a human is genuinely needed and unavailable, it captures a structured message, not a mumbled voicemail nobody plays back.

FAQ Answering

Opening hours, pricing, parking, what to bring, whether you take a given insurer, answered accurately from your own information.

Bilingual Reception

Greets in one language, switches the moment the caller does. Particularly valuable across the Gulf, Canada and the UK.

What a missed call actually costs.

Work out your own number before you decide anything. Take the average value of one new customer, multiply it by how many first-time callers you think reach voicemail in a typical week, then multiply by fifty-two.

For most clinics, firms and trades we speak to, that figure lands somewhere well past the annual cost of an AI receptionist, often in the first month or two. The point is not that AI is clever. The point is that the phone gets answered.

And unlike a hire, the cost does not scale with volume. A busy December costs the same as a quiet July.

Questions we get a lot.

How is this different from an answering service?

An answering service takes a message and passes it on. You still have to call back, and by then the customer may have booked elsewhere. An AI receptionist completes the job on the call. It answers the actual question, checks real availability, books the slot, and confirms by SMS. The customer is served, not queued.

Is it cheaper than hiring a receptionist?

Substantially, in almost every market we work in. A full-time front desk hire carries salary, taxes, benefits, equipment, training and cover for holidays and sickness. An AI receptionist has a one-off build fee and a monthly running cost, with no cover required, and it works nights and weekends at the same rate.

Can it transfer calls to my team?

Yes. You set the rules: by topic, by caller, by time of day, or on request. The agent can warm-transfer to a mobile or desk phone, and if nobody picks up it falls back gracefully to taking a message or booking a callback rather than dumping the caller.

What happens to the call recordings and transcripts?

Every call is transcribed and stored in your dashboard, and pushed into your CRM if you use one. You can search them, review how the agent handled an edge case, and use them for training. Retention and deletion rules are configurable to fit GDPR or your own policy.

Will it work with my existing phone number?

Yes. We can either forward your existing number to the agent, or port the number over entirely. Most clients start with conditional forwarding (the AI only picks up when your team does not answer within a few rings), move to full-time once they trust it.

How quickly can we go live?

A straightforward reception agent is typically live within two to three weeks of the discovery call, including integration and testing. We always run a pilot on a test number first so you can hear it and adjust the script before a single real customer reaches it.

Stop paying for calls you never hear about.

We will set up a live AI receptionist on a test number so you can call it yourself. Free, and you will know within five minutes whether it is right for you.
